This public summary explains Helpy’s privacy approach. It must receive professional review before real client documents are accepted.

Information Helpy collects

The initial public enquiry asks only for contact details, the selected task or package, preferred contact arrangements and a short non-sensitive description. A business enquiry also asks for the organisation name and general staff, provider, site or cohort details needed to check the package limit. Do not send identity, health, immigration, financial or other sensitive documents through the public form or first email.

If Helpy accepts a task and documents are genuinely required, the requested items and secure channel will be explained separately. Helpy aims to collect the minimum information needed for that agreed task.

How information is used

Enquiry information is recorded in Helpy’s controlled production register and private operator tracker so Helpy can respond, check administrative scope, prepare a quote or safe next step, and follow the case through completion. Contact details, the selected service, organisation or package-planning fields, a short non-sensitive task summary, consent and message-delivery states may be recorded. Private intake answers, drafts, documents, payment-provider identifiers and access links are not copied into the operator tracker.

Helpy does not use client files to train general AI models and does not place sensitive contents in analytics, routine logs, email subjects or SMS messages. The public website records privacy-safe events such as the page route, button selected, package code, form stage, delivery outcome and an approved campaign label. Paid-campaign attribution stores only a fixed channel label for the current browser session. It does not store or send advertising click IDs, raw URL query values, form contents, names, contact details or document information. These events are used to understand whether visitors can find and complete the right enquiry path.

Access, sharing and partners

Information is restricted to authorised team members who need it for the agreed work. A document pack is not transferred to a professional partner without a separate disclosure, the name of the partner, the exact document manifest and the client’s specific consent.

Helpy and any professional partner have separate responsibilities, engagements and fees.

Retention, correction and contact

An unconverted website enquiry, or an enquiry declined as duplicate or outside scope, is deleted or de-identified after 90 days from the last meaningful contact or closure. Records needed for a completed service, payment, consent, complaint or legal obligation may be retained longer under the approved operating policy. You may ask to access or correct contact information, request deletion where applicable, or raise a privacy concern by emailing helpy@mixma.ai.
